Integrations
The Integrations menu gathers every way Syncendio meets the outside world, so “where do our orders come from?” is one place to look.
Where your orders come from
| Menu item | What it connects | Guide |
|---|---|---|
| WMS | Handhelds in your warehouse | Warehouse scanner |
| Point of Sale | The till at your counter | Point of Sale |
| B2B Portal | Wholesale customers ordering online | B2B Portal |
| Shopify | Your online shop | Below |
| ShipStation | Shipping labels and carriers | Below |
| QuickBooks, Xero | Your accounting package | Below |
Connect a service
- Open Integrations and choose the service.
- Connect. QuickBooks and Xero send you to their site to sign in and approve access for Syncendio. Shopify asks for your store address and an access token from a custom app you create in your Shopify admin — the page lists the permissions to give it.
- Back in Syncendio, check the settings on the page — which location to use, which accounts to map to — and save.
Only an Owner, or a role with full Integrations access, can connect or disconnect a service.
Shopify
Click Pull orders now to bring new Shopify orders into Sales → Sales orders, and Publish stock now to send the stock you have available back to Shopify so you don’t oversell. Neither runs on its own — do both as often as you sell.
Bring your products in
- Go to Integrations → Shopify and click Load products from Shopify.
- Each Shopify product is listed with what importing will do to each of its variants: Linked (already done), Matches by SKU (an existing product has the same SKU), Will be created, or Needs attention with the reason.
- Choose the location stock is sold from, tick the products you want, and click Import selected.
| In Shopify | In Syncendio |
|---|---|
| A product with options, e.g. Size and Flavour | A product family with the same options and values |
| Each variant, e.g. 9" / Strawberry | A product in that family, with its own stock, cost and price |
| A product with no options | A single product, not a family |
Every variant needs a SKU. The SKU is how a Shopify variant is matched to a product here. A variant without one, or with a SKU used by another variant, is listed under Needs attention and not linked. Add the SKU in Shopify and load the products again.
If you already built the family in Syncendio, importing links it to the Shopify product rather than creating a second one. Importing again is safe: linked variants stay as they are, and new variants and values added in Shopify are added to the family. Prices, costs and stock here are never overwritten by an import.
Publish a family to Shopify
Open the family under Inventory → Product families and click Publish to Shopify. It is created in Shopify as one draft product with a variant for each product in the family, so you can add images and a description before making it active. To add a flavour or size later, use Add variants on the family, then Publish new variants to Shopify. Only the new variants are sent.
Orders and stock
An order line is matched by the linked Shopify variant, never by guessing from its SKU while the order is imported. An order with a line that isn’t linked is skipped and listed in Recent syncs, rather than imported with a line missing. Stock published to Shopify is the quantity available at the chosen location, which is on hand less what is already committed to orders.
ShipStation
Send sales orders to ShipStation to buy labels and book carriers. An order needs a delivery address before it can be sent — add one on the order’s Order details tab.
QuickBooks and Xero
Keep your accountant in the package they already use. Connect one of them and map Syncendio’s accounts to theirs, and click Sync now: authorised sales invoices and supplier bills are sent across, and payments recorded there against those invoices come back. With QuickBooks, payments recorded in Syncendio are sent too.
